Once the system is selected, businesses often struggle with the implementation phase.

Managing expectations effectively involves:
- Planning & testing – A well-thought-out roadmap ensures smooth deployment and minimizes disruption.
- Over-communicating – Different audiences require different messaging. Keep stakeholders informed through multiple channels to ensure clarity.
- Being realistic about change – A new system means new workflows. Helping teams adapt ensures smoother transitions.
Construction X’s System Implementation
When Construction X got it right, it started early. Day one was the second day of the sales process. Systems were selected as part of the process.
With that early investment, the implementation was set up to succeed. It was easier for Construction X to set up a plan when the team was already onboard. Managed expectations were part of the process from the beginning, and it kept everyone realistic. No doubt, the failure of the first time lowered the bar too! Easier to overdeliver after a failure like that?
When Construction X failed the first time, they cut the time spent on communication. They figured they were a small team, so people were in the loop. That wasn’t true! People are too busy with their day job to keep up with the project. They also thought time and costs on communication were ‘fat’ that could be cut – so they cut it.
Did a failed project and a redo cost more time and money than the original cost savings? Absolutely!

The second time, there were weekly huddles, even daily, when things got tight. They documented weekly updates that helped those less in the day-to-day have a resource. They celebrated the wins. They shared the timeline. Do they overdo it? Maybe? But it paid off, and the implementation was on time, didn’t kill the culture and was on budget, too.
